Collections Management Working Group
Minutes, May Mtg.
6/20/08 Adcon Room
Present: R Smith, M Mogelinski, H Hruska, D Kegel, H Colson, R Finnerty, J Williams, S Dunlap
The first agenda item decided that minutes would be recorded by Roger Smith. They will be brief in nature, and focus on major discussion points and action items.
The CMWG will have space on LIBNET for minutes. It will occupy the “space” currently labeled “Collections Monitoring Group…coming soon”. It will principally serve as a link to our wiki, where our proposed and under way projects, resources and minutes will continue to reside.
The group discussed SRLF transfers and duplication. Ryan shared fine tuning of duplicate checking procedures. We mentioned setting aside an area of the wiki to list intended SRLF transfer to better plan for a calendar year SRLF quota.
We then reviewed the projects listed on our wiki one at a time for current status. A number of projects have been completed and will be indicated as such. Other updates to progress, etc. will be added.
A discussion was held about upcoming, approved funding for MSCL transfers to the Annex, upgraded security at the Annex, and the need to week existing collections at the Annex to accommodate future use. A number of collections from S&E, Biomed, IRPS and SSHL were discussed for weeding. Deborah Kegel indicated that checking could be done for duplication of Nasa tech material held at the Annex with other university collections and/or online resources. More discussion will follow as we look to jumpstart the process of weeding and shifting material at the Annex.
SSHL is planning 6th floor weeding program.
Updates included discussion of Google scanning. Special thanks to David Jahn and his staff, the IRPS staff, and the Facilities staff who have made the process work smoothly so far. The first shipments have gone out from IRPS, some 11K items in the first batch. This is a high number due to the high percentage of thin, pamphlet type material in the initial area of the collection. Reference at IRPS has gone out and has returned. Care has been given to protect the furniture and structure at IRPS. Project is on track to finish on site IRPS work during the summer months.
